How to find a box after the move for people moving house

A plain guide to finding a specific box after a house move: what to prepare, the steps to follow, tool options and mistakes to avoid.

Give every box a short code before it is sealed, and record what is inside and which room it belongs to. After the move, look up the item in your record, read the code, and match it to the label on the box. Paper lists work. An app such as Packing Buddy can also search your boxes by item. [1]

What you need before you start

Finding a box after the move is mostly decided before the tape goes on. The work is small, but it has to happen while you still know what is inside.

If you want an app to do some of this, check what it limits before you start. Some free options cap the number of boxes, so count your boxes first.

Step by step

These steps work with paper or with an app.

  1. Number the boxes as you pack. Give each box its code when you start filling it, not afterwards. A code written on an empty box cannot be mixed up later.
  2. List what goes in. Write or photograph the contents before closing the lid. Name items the way you would search for them, such as "kettle" or "phone chargers", not "kitchen stuff".
  3. Note the destination room. Put the room next to the code in your record and on the box. Movers can then place it without asking you.
  4. Label two sides. Put the code and room on at least two sides of the box so it can be read when stacked against a wall.
  5. Keep the record outside the boxes. Make sure it is on your phone, in a bag you carry, or in a printed sheet that travels with you.
  6. Unload by room. When boxes arrive, have them placed by the room on the label. This narrows the search before you start looking.
  7. Search by item. When you need something, look it up in your record to get the code. Then find the code on the label.
  8. Mark the box as opened. Cross it off or note it in your record. The ones left unmarked are the ones you still have to check.
  9. Keep the record until the last box is empty. It is also useful if something seems to be missing.

If an item is not in your record, check boxes for the same room first, then boxes packed on the same day. A good record makes that rare, but it still happens.

Tools that can do it

There are several ways to keep the record. Pick by how many boxes you have and how you like to work.

Notebook or printed list. You write the code and contents by hand. It needs no battery and anyone can read it. Searching means scanning the page, so keep entries short.

Spreadsheet. One row per box, with columns for code, room and contents. You can use the search function to find an item. Check that it opens on your phone, because you will need it while standing in a room of boxes.

Photos in your phone gallery. Take a picture of the open box and the label. It is quick to do. Check how you will find a photo later, since you cannot search inside it by item unless your phone offers that.

Packing Buddy. You take photos of what goes into a moving box, and AI lists the items and picks the room. [1] Each box gets a short code like K-03 that is printed on its label. [1] You can search your boxes to find which box an item is in. [1] Scanning a box's QR code with any phone camera opens that box in the browser, no app needed. [1]

Labels print from a home printer on store-bought Avery 5163 or compatible sheets, or on plain paper you cut out and tape on. [1] You can print blank QR labels in advance and start a box later by scanning one. [1] Share links let a partner, friends or movers join by typing their name with no account; the movers link is available on your plan. [1] It runs on phones and in a web browser; printing labels to a wireless label printer works only from the phone app, not on the web. [1] On a computer you can choose photos you already took with nothing to install. [1]

The Free option gives 3 test boxes per device without an account; with a free account, 10 boxes, 25 times the AI reads your photos to list items, and up to 4 photos a box. [1] If you cancel, you keep your boxes and can still open, edit, reprint and search them, but you cannot add new ones. [1]

Common mistakes to avoid

Frequently asked questions

How to find one item when you do not know which box it is in?

Search your record by the item name. With a paper list, scan for the word. With a spreadsheet, use its search. Packing Buddy lets you search your boxes to find which box an item is in. [1] Then read the code and look for the matching label.

Can movers use the box codes without an account?

With Packing Buddy, share links let a partner, friends or movers join by typing their name with no account; the movers link is available on your plan. [1] With paper, give movers a printed room list and make sure the codes are written large on the boxes.

Is a special printer needed for box labels?

Not always. Packing Buddy labels print from a home printer on store-bought Avery 5163 or compatible sheets, or on plain paper you cut out and tape on. [1] Handwritten labels also work if the writing is large and clear. Check any tool's label options before you buy supplies.

What happens to box records if you stop paying for an app?

Check this before you commit. For Packing Buddy, if you cancel, you keep your boxes and can still open, edit, reprint and search them, but you cannot add new ones. [1] For other tools, look at what stays available after a plan ends.

Can a box label be scanned without installing an app?

With Packing Buddy, scanning a box's QR code with any phone camera opens that box in the browser, no app needed. [1] This helps when a helper or family member wants to check a box and does not have the app on their phone.

Free: 3 test boxes per device without an account; with a free account, 10 boxes, 25 AI reads and up to 4 photos a box. [1]
